Preparing Your File for Printing: CMYK, Bleed, Resolution (the Simple Guide)

You've designed a flyer or a business card, and your printer is asking for a "print-ready file". No need to panic: behind that phrase are three simple concepts. Once you understand them, you'll avoid the usual pitfalls (dull colours, white edges, blurry images). Here's the clear guide, jargon-free.
CMYK or RGB: why your screen is lying to you, just a little
This is question number one, and the most common source of error. There are two ways to create a colour:
- RGB (Red, Green, Blue): this is your screen's mode, which mixes light. It displays very vivid colours, sometimes almost neon.
- CMYK (Cyan, Magenta, Yellow, Key/black): this is the printing mode, which mixes ink on paper. It's what your printer actually uses.
The catch: a screen emits light, paper reflects it. Some very luminous RGB colours (a bright apple green, an electric blue, a neon orange) simply don't exist in ink. If you send a file in RGB, the software will make the conversion decision for you, and the result can look duller than it did on screen.
Best practice: work and export in CMYK from the start. This gives you a much more accurate preview of how it will look on paper, and keeps you in control of your colours.
What exactly is bleed?
Bleed is there to prevent unsightly white slivers along the edges of your document.
Here's how it works in practice: printing happens on a large sheet, which is then trimmed with a guillotine cutter. That cut is never accurate to a tenth of a millimetre. If your colour or photo stops exactly at the edge of the final format, the slightest shift leaves a thin white strip.
The solution is simple: extend your background elements 3 to 5 mm beyond the final format (3 mm is the standard). This margin will be trimmed off and lost, hence the name "bleed". That way, even if the cutter is slightly off, you'll never see any white.
Don't forget the safety margins
This is the opposite of bleed, and just as important. Keep your text, logos and important elements at least 3 to 5 mm inside the trim edge. Text placed right against the edge risks being cut off. This "safe zone" guarantees that nothing essential gets clipped during trimming.
Resolution: 300 dpi, the right instinct
Resolution measures how fine an image is, in dpi (dots per inch). The more dots there are, the sharper the image will be once printed.
- 72 dpi: this is the resolution used for web images. Perfect on screen, but far too low for paper, where it will look blurry or "pixelated".
- 300 dpi: this is the standard for quality printing. At this resolution, the eye can no longer make out individual dots, and the image is perfectly sharp.
The right instinct: check that your images are at 300 dpi at the size they'll be printed. A small photo pulled from a website will never become sharp by enlarging it: artificially boosting the dpi adds no extra detail, it just stretches the existing pixels.
File format: why PDF reigns supreme
To deliver a print-ready file, PDF is the format to go for. Unlike a JPEG or a working file (Word, Canva, Photoshop), a well-made PDF locks in your layout: what you see is what gets printed.
Two essential precautions for your PDF:
- Outlined or embedded fonts. If a font isn't embedded in the file, your printer may not have it installed, and your text will get swapped out for a different typeface. Outlining your fonts (turning them into shapes) or embedding them in the PDF guarantees the text looks exactly as intended.
- Bleed included. Remember to export your PDF with the 3 mm of bleed (and ideally crop marks), otherwise all your careful preparation will be for nothing.
Common pitfalls to avoid
- Sending a file in RGB, assuming the colours will look identical on paper.
- Forgetting the bleed and ending up with white edges.
- Placing important text right against the trim edge.
- Using an image found online that's too small and only 72 dpi.
- Exporting a low-quality JPEG, or forgetting to embed the fonts.
As you can see, none of this is insurmountable. With these few rules, you'll deliver a clean file and get a result that matches your expectations.
